Introduction & scope
Pheenix Solutions (“Pheenix Solutions,” “we,” “us,” or “our”) provides staffing and recruiting services that connect employers with talent. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit our website, submit a form, apply for a role, or otherwise interact with us.
This policy applies to information we handle in connection with our website and services. It does not apply to the practices of employers, clients, or other third parties that we do not own or control. By using our website or services, you agree to the practices described here.
Information we collect
We collect information you provide directly, information we receive about candidates, and information collected automatically when you use our site.
Contact & request-talent form data
When you contact us or ask us to help you hire, we may collect your name, email address, phone number, company, and any details you include in your message or request.
Where a form offers an optional text-message consent checkbox, we also record whether you ticked it and when, as evidence of your consent. The box starts unchecked, and leaving it unchecked does not affect your enquiry, application, or placement. See our SMS Consent & Messaging Policy for what we send, how often, and how to stop.
Job-seeker data
If you are looking for work, we may collect your contact details along with your résumé, work history, education, skills, references, desired role and compensation, work authorization status, and any other information you choose to share with us as part of the recruiting process.
Background checks and screening
Many roles require screening before a placement can proceed, either because the client requires it or because Pheenix Solutions does. Screening is never run without your written authorization.
Who runs it varies. Where Pheenix Solutions arranges the screening, we use third-party screening providers acting on our behalf and we collect your authorization ourselves. Some placements are instead screened by the client directly, or through a client’s vendor management system (VMS); in those cases the authorization and disclosures come from the client or the VMS rather than from us, and the results may be held by them. We will tell you which applies to a role you are being considered for.
Depending on the role, screening may produce information such as criminal history, verification of employment, education, licenses and certifications, motor vehicle records for roles involving driving, exclusion-list checks for healthcare roles, and drug screening results.
We use this information only to assess eligibility for the specific role you are being considered for, and to meet a client’s or regulator’s requirements. Results are shared with the client only as needed for that placement decision, and are retained in line with the recordkeeping obligations that apply to the role.
Cannabis screening. For our own internal employees, we do not test for cannabis in jurisdictions where its use is lawful. Workers we place with clients may still be screened for cannabis where a client requires it and applicable law permits, which varies by state and by the nature of the role.
Your rights when a report is obtained. Where screening information is supplied by a consumer reporting agency, federal law gives you rights in connection with that report — including the right to be told if information from it is used against you, to obtain a copy of it, and to dispute information you believe is inaccurate or incomplete. Those rights apply regardless of who arranged the screening. Where we arrange it, you will receive the required disclosures and a summary of your rights from us or our screening provider before it runs. Where a client or their VMS arranges it, those disclosures come from them — and if you have not received them, or you are unsure who to ask, contact us at it@pheenixsolutions.com and we will point you to the right place.
Automatically-collected data
We do not run analytics or tracking on this website. Our hosting provider keeps standard server logs that may include your IP address, browser and device type, and the pages requested — the ordinary record any web server keeps in order to serve pages and guard against abuse. We do not use that data to build a profile of you. See Cookies & analytics below.
How we use information
We use the information we collect to:
- Provide, operate, and improve our staffing and recruiting services;
- Match candidates with employers and evaluate potential opportunities;
- Respond to your enquiries, requests, and applications;
- Communicate with you about roles, services, and updates you have requested;
- Maintain, secure, and improve our website and understand how it is used;
- Comply with legal obligations and enforce our terms and agreements.
How we share information
We do not sell your personal information. We share information only as described below:
- With prospective employers. We share candidate information with prospective employers and clients only with the candidate’s consent and as needed to pursue an opportunity.
- With service providers. We share information with vendors and processors who perform services on our behalf — such as website hosting, email, applicant tracking, and background screening — under obligations to protect it and to use it only for the service they provide to us.
- For legal reasons. We may disclose information when required by law, subpoena, or legal process, or to protect the rights, safety, and property of Pheenix Solutions, our users, or others.
- In business transfers. Information may be transferred as part of a merger, acquisition, financing, or sale of assets, subject to this policy.
Cookies & analytics
This website does not currently set cookies, run analytics, or use advertising trackers. It is a static site: it loads only its own files, makes no third-party requests, and does not build a profile of your visit. There is nothing to opt out of and no cookie banner, because nothing is being placed on your device.
If we introduce analytics in future to understand site performance, we will update this policy before doing so and describe what is collected. Most browsers also let you refuse or delete cookies through their settings.
Data retention
We keep personal information for as long as needed to provide our services, pursue opportunities you have expressed interest in, and satisfy our legal, tax, and recordkeeping obligations. In practice that means:
- Candidate records are kept while your search is active and while you remain interested in future roles, and thereafter for the period employment recordkeeping rules require.
- Placement and payroll records are kept for the longer periods that tax and employment law require after an assignment ends.
- Screening results are kept only as long as needed for the placement decision and any applicable recordkeeping requirement.
- Enquiries that do not lead anywhere are kept only as long as needed to answer them.
You may ask us to delete your information at any time — see Your rights & choices. When information is no longer required, we take reasonable steps to delete or de-identify it.
Your rights & choices
Whatever state you live in, you can ask us to access, correct, or delete the personal information we hold about you, or ask us to stop contacting you. Email it@pheenixsolutions.com and tell us what you would like. We will respond consistent with applicable law, and we may need to verify your identity first so that we do not disclose your information to someone else.
Asking us to delete your information will usually end our ability to represent you for roles, and we may need to keep certain records to meet tax, employment, and legal obligations.
California residents
We recruit in California, so this section sets out how we handle personal information for California residents, including job applicants and placed workers.
What we collect. In the past twelve months we may have collected the following categories of personal information: identifiers (name, postal address, email, phone number); personal records (signature, employment and education history); professional or employment-related information (résumé, work history, references, compensation expectations, screening results); education information; characteristics protected under state or federal law, only where a client or law requires it and only where you choose to provide it; and internet or network activity limited to the standard server logs described above.
Sensitive personal information. Where a placement proceeds, we may collect your Social Security number, driver’s license or state identification number, and financial account details for payroll. We use this information only to onboard, pay, and lawfully employ you — never to infer characteristics about you. We do not use or disclose sensitive personal information for any purpose that would give rise to a right to limit it.
Where it comes from. Directly from you; from references and prior employers you point us to; from background screening providers you have authorised; and from clients in connection with a placement.
Why we collect it. To provide recruiting and staffing services, match you with roles, carry out screening a client or law requires, employ and pay you where we are the employer of record, and meet our legal obligations.
Who we disclose it to. Prospective employers and clients, with your consent; service providers who act on our behalf (hosting, email, applicant tracking, background screening, payroll); and others where the law requires it.
We do not sell or share your personal information, as those terms are defined under California law, and we have not done so in the past twelve months. We do not sell or share the personal information of anyone under 16.
Your California rights. You may request to know what personal information we have collected, used, and disclosed; to correct inaccurate information; and to delete information, subject to exceptions where we must retain it. You may also designate an authorised agent to make a request for you. We will not discriminate against you for exercising any of these rights — your candidacy and our service to you will not change.

Nevada residents
Nevada law gives consumers the right to direct a website operator not to sell certain covered information. We do not sell personal information. If you would like to submit a request regarding the sale of your information, email it@pheenixsolutions.com.
Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information against loss, misuse, and unauthorized access. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
Children
Our website and services are intended for adults and are not directed to children under 16 (or under 18 where applicable). We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can remove it.
Links to third parties
Our website may link to third-party sites and services that we do not control. We are not responsible for the privacy practices or content of those third parties, and we encourage you to review their privacy policies.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. Material changes may be communicated through the website or other appropriate means. Your continued use of our website or services after an update means you accept the revised policy.
